Why put your pickleball court schedule on Google Calendar?
Most venue owners do not sit at the admin dashboard all day. They are on court, at the counter, or somewhere else entirely — and the thing already buzzing in their pocket is a calendar app. Pushing your bookings into that app closes the gap: tomorrow's schedule is one glance away, on the phone you were holding anyway, with no login and no app to install.
It matters most for the people who are not full-time staff. A co-owner who covers weekends, a coach who only needs to know when Court 3 is free, an accountant reconciling a busy Saturday — each of them can subscribe to the schedule without you creating an account, assigning a role, or teaching anyone a new system.
It also gives you a second pair of eyes on the operation. A calendar app shows the day as a shape rather than a list, so an empty Tuesday afternoon or a stack of overlapping holds is obvious in a way a table of rows never quite is.
Google account connection or calendar link — which should you use?
Connecting your Google account is the faster of the two. PlayServe creates a calendar called “PlayServe — your venue” inside your account, pushes changes into it within roughly a minute, colour-codes each type of event, and marks unpaid holds as tentative so Google renders them as outlines rather than solid blocks. Nothing else in your Google account is touched, and disconnecting stops the updates while leaving the events in place.
Subscribing by link takes a different trade. You copy a private URL and paste it into Google Calendar, Apple Calendar, or Outlook — no sign-in, no permissions granted, and it works on calendar apps that Google's connection cannot reach. The cost is freshness: your calendar app decides how often to re-read a subscribed URL, and in practice that is usually every few hours rather than every minute. Google does not publish that interval and there is no way to force it sooner. This is the same lag behind the double-booking reputation that iCal sync has in the holiday-rental world, so it is worth naming rather than glossing over.
The practical answer for most venues is both. Connect Google on the manager's own account so the live schedule is always current, and hand the subscription link to everyone else who just needs to know roughly what the week looks like.
What appears on each calendar event
A confirmed booking arrives titled with its court and the customer's name. Open the event and you get the booking reference, status, court, the customer's phone number and email address where your records hold them, when the booking was made, when it was last changed, and a direct link that opens that booking in PlayServe.
An Open Play session becomes a single event rather than one per registered player, with its courts, session name, and player count, plus the roster where you keep contact records. Unpaid holds appear as tentative, which is how you spot a slot that is reserved but not yet paid for. Blocked slots come through as maintenance or closure entries so nobody books over a resurfacing job.
Amounts, payment methods, and transaction records are deliberately left out. A calendar entry tells you who is on which court and how to reach them; anything financial stays behind the login, one tap away through the link on the event.
Is a calendar link safe to share?
Treat the subscription URL as a password. It carries a 64-character random token, is excluded from search engines, and cannot be guessed — but anyone holding it can read the schedule it points at, including customer contact details when those are switched on. That is the whole point of a subscribe-by-URL calendar, and it is the same model Airbnb and Booking.com use.
Two controls come with it. “Hide customer details” strips names and contacts so the feed shows court occupancy only, which is what you want if the link is going anywhere beyond your own team. And “New URL” rotates the token if a link goes astray — worth knowing that this revokes it for everyone at once, so whoever should still have it needs to re-subscribe.
Connecting a Google account avoids the question entirely, since the calendar lives inside an account you already control and is shared using Google's own sharing rules.

Adding the link to Google Calendar
- 01Open calendar.google.com on a computer — the phone app cannot add a URL, though it shows the calendar once added.
- 02In the left sidebar, click + next to Other calendars.
- 03Choose From URL.
